Building Relationships: Tasks & History

“The plans of the diligent lead surely to advantage, but everyone who is hasty comes surely to poverty.”  ~Proverbs 21:5.

TntConnect offers two different ways to view tasks and history.

1.View items individually or for the Current Group on the Tasks/History tabs in the Contact View.

2.View all tasks and history for all contacts using the Task View and History View. In both of these areas, you can filter the list to see only relevant results.

The tasks and history tabs are in the Contact View and show the tasks and history for the selected contact or the Current Group. In most cases, you will only view tasks and history for a selected contact.

Task Tab

For many missionaries, most of their scheduled tasks are created automatically by TntConnect in response to gifts given. The primary tasks that you would typically schedule would be appointments (so they appear on both the calendar and the task list), and call backs where you specified a date and time for the call.

If you are calling groups of people (for example, everyone whose TNT Phase is "Call for Appts"), then you do not need to schedule a task for them, since their TNT Phase already implies they need a call).

Tasks View

History View

You can filter your tasks or history by date range, task type, or description. On History, you can also "Combine Group History Items"; that is, display as one history item all history that was created using Group Log History.

Powerful history tools are at your fingertips with the History filters

Although both the Tasks View and History View use these same filters, you are far more likely to use these powerful tools when reviewing your history.

Filter by Date Range

You can auto-filter by date using any of the options, or select any date using the Custom date range.

In the Tasks View, the default date range does not include future tasks. This allows you to schedule tasks in the future, but not have them clogging up your current task list.

Note: If you uncheck one of the dates on the date range filter, TntConnect will filter infinitely in that direction. For example, you do not need to select a date way back in time to review your oldest history. Just uncheck the first date box, and the filter will capture all history from the first available date until the "To" date (the second date):

Filter by Task Type

By default, TntConnect displays all tasks for the selected date range. If you want to see tasks/history of specific task types, check just the task type(s) you want to view.

Filter by Description

At the top of the task/history list is a long box. When you type anything in that box, it turns red, and then filters the list of tasks/history by the text you have written. This filter searches all task/history descriptions, the notes inside those tasks, and the task Type as well; it is a dynamic filter, meaning it filters your whole displayed list as you type each character.

Example. If you select to filter by the Task Type "Thank", you will only see tasks/history that used the task type of "Thank". BUT, if you type "(Thank)" in the description filter, you will see ALL tasks/history that have the "Thank" checkbox checked, whether that Thank was a call, email, text, etc. The same applies to the word "(Challenge)", since any task/history can be marked as a "Partnership Challenge".

View Details

TntConnect records the last Appointment, Call, Thank, Letter, and Pre-Call Letter. For that reason, it helps to be consistent about which task type you are using when logging history for a contact.

In the most recently downloaded version, I am having a problem under the History tab. All "call" entries that have "attempted" as a result have the entire text of the entry scored through. How do I change this to normal text? For some reason, all my ATTEMPTED entries changed to scored text when I last downloaded the updated version. Thanks for the help.

In TntMPD 2.1 r9 or newer:  Under the "Tools" menu, click on "Options".  Then click the "User Interface" tab.  Uncheck the box for "Draw a line through attempted history items."

Is there a way to create multiple histories or tasks?  for instance, If I wanted to select a certain number of contacts to send a letter to.  Then I want to follow up with all of those people with a phone call a couple of weeks later.  Is there a way that I can select those specific contacts, then create a history item (sent letter on 9/1) and a task (call on 9/14)?

I'm on a Mac btw.  :)

For all the contacts in the Current Group, you can do this.  Under the "Group Actions" menu you'll see choices for this.  You can do a lookup to customize the Current Group.

I would like to clear all the entries that are in tasks. Is there a way I can do this?

Yes, it is easy. Select the first task, then scroll to the bottom. Press your SHIFT key, then click on the last task. This should select all of the tasks in the list. Press the DELETE key, or right-click in the list and select Delete.

More importantly, it may be helpful to resolve WHY you have tasks you are not performing. If you do not want Automatic Actions created, go to Tools | Options and the Gifts tab. From there you can turn that feature on/off, or control the specific types of tasks that are automatically generated in response to donor activity.

Why are some of my items in history highlighted in black? This happened on the latest beta of tnt for mac.

Addison, this issue is addressed in the current release (3.0.9).  Also, there's another bug fix coming in 3.0.10.

Is there any type of alert for tasks?  Or exporting tasks to an imac calendar?

I'm afraid it's a "no" on both questions.  :(

is there any way I can link a file into the history of a contact?

No, TntMPD does not offer this feature. Hypothetically, of course, you could hyperlink. One idea I thought of was scanning my partner's Christmas / Year-end letters and storing them in Evernote, then referencing the Evernote URL for that letter to each contact's history.

I don't see any delails in Clanedr , And I also don't know how to use calender ?

Troy Wolbrink wrote re: Building Relationships: Tasks & History

Lasantha, the Calendar view shows all "Appointment" tasks that have a start time and length.

Bob Mac Leod wrote re: Building Relationships: Tasks & History

Also, Lasantha, the Calendar in TntMPD is not like a Google or Outlook calendar. It is not meant to be a robust time-management tool. It's just a display of activities already scheduled in your task list (if they have a time and length).

Is there any way to upload giving history for my contacts from an Excel worksheet? All my support is up to date since I started using TNT but I have years of giving history from before I started using TNT that I would love to add. Do I have to do that all manually?

Karen, this guide (www.tntware.com/.../how-would-i-send-our-staff-a-monthly-tntconnect-datasync-file.aspx) explains how to take gifts in Excel and format them in the specific way TntConnect needs to import them.
