DonorWise Sample Database (2024-08-01)

This is an updated sample "ToonTown" database for DonorWise (inside the zip file).

This database is used with the self-study guide. It can also be used as a sample or test database for any ministry.

You may find it helpful to use the Backup & Restore Databases instructions, also available on the downloads page.

To use this:

1. Download the zip file.

2. Extract the .bak file from within the .zip file.

3. In DonorWise, under the "File" menu, click on "New Database".

a. Check the box to "Restore from backup file".

b. Click "..." and choose the .bak file you extracted in step #2.

US Form 990 Schedule B Part 1

This report is used to fill out Schedule B "Schedule of Contributors" of the United States Form 990. I created this report in Crystal Reports to make it easy to find some 990 data Donorwise can provide without having to run a query, remember the formula and organize donors by last name just to fill out the 990.

Once you download the attached .rpt file, remember where you put it.

In Donorwise,

Login to Donorwise
Choose "Run Reports" on the left
Click the "New" button at the top
In the New Report window that comes up
- Description = 990 Donors
- Category = Year End
- Click the "Load from file ..." button and select the "990 Donors.rpt" file you downloaded
- Check the "Security and Context" fields you deem appropriate
- "When to include this report in the "Reports" menu ..." I choose "Always"

When you run the report in Donorwise, it will prompt you for the Year for which you want financial data and a minimum contribution amount (which is currently $5000.00 total yearly contributions in the U.S.)

*This is not a complete US Form 990. This is only a partial report used to fill out the "Schedule B - Schedule of Contributors" section of the Form 990.

Backup & Restore Databases

Making backups of your DonorWise database is an important step in ensuring the safety of your DonorWise database. While you will make your backup to the Microsoft SQL Server directory, it is critically important that you also copy your backup to an external drive or CD (using Windows Explorer or some other software). This is important because if the server that DonorWise is running on is no longer accessible (either because it crashes, is stolen, or destroyed by some unexpected incident) you will need an external copy to restore.
